Smart Appointment Scheduling

As a dietitian, your time is your most valuable resource. Nebula's appointment management module lets you schedule, reschedule, and cancel appointments all from a single screen.

With automatic email reminders, your clients' no-show rate drops significantly. You can customize the reminder time from 5 to 30 minutes before the appointment.

Creating an Appointment

You can start creating a new appointment from the client list or from the calendar view.

  1. Go to "Appointments" from the left menu
  2. Click "New Appointment"
  3. Select a client (or create a new one)
  4. Set the date, time, and duration
  5. Pick the appointment type: in-person or online
  6. For in-person, choose a location (office, clinic, home office)
  7. For online, your standing meeting link (Google Meet, Zoom, etc.) from your profile is attached automatically
  8. The appointment is saved and an email — including the meeting link, if online — is sent to the client

Online Appointments and Join Meeting

Nebula manages in-person and online appointments side by side in the same system. Online appointments use the standing meeting link defined in your profile — Google Meet, Zoom, or any platform you prefer.

For online appointments, the link surfaces automatically in several places:

  • Upcoming appointment card: The "Join Meeting" button on the dashboard hero card activates just before the session
  • Session Workspace: The link is available throughout the consultation
  • Client emails: The link is included in confirmation, reminder, and reschedule emails
  • Client Portal: The "Join Meeting" button also appears in the client's portal
Define your meeting link once in your profile — it is reused automatically for every online appointment, no manual copy-paste.
Tips
  • Set your standing meeting link under Consultant Profile Settings → Professional Information
  • Online appointments still use the same Session Workspace — notes, meal plans, and reports work identically

Automatic Reminders

Nebula sends automatic reminder emails to both your clients and you. This feature helps you minimize no-show rates.

You can customize the reminder time: 5, 10, 15, 20, or 30 minutes before. Set the default for all clients from business settings, or change it individually.

Appointment Capacity

Nebula provides a monthly capacity of 150 appointments per seat. This is more than enough for most dietitians. If you use multiple seats in a clinic setting, the capacity is automatically multiplied.

Example: Standard plan with 3 seats = 450 appointments per month. Additional appointment packages can also be purchased (250 appointments/package, €5/month).
